What is whistleblowing and who is a whistleblower?

Whistleblowing is a tool that allows employees or third parties (e.g. suppliers) to confidentially report any wrongdoing encountered during their work.

A whistleblower is a person who identifies a wrongdoing or irregularity in the workplace, during the performance of his or her duties, and decides to report it to the company or organisation to which he or she belongs or to an authority that can effectively act accordingly.

How can I submit a whistleblowing report?

You can submit the whistleblowing report and access it using system-issued codes. Carefully preserve the code and password, because if they are lost, you will no longer have access to your report. If you have given your first and last name, your identity will remain hidden, but only accessible to the recipient of the report. If you prefer to remain anonymous, if this mode has been set up, do not give any references that could be related to your identity. If you attach files, remember to check that they do not contain references to your identity, even within the metadata. If requested by the Supervisor, you may communicate your identity at a later stage via the Messaging area.

By whom and how is my report managed?

Typically, the report is handled by a Whistleblowing Supervisor, e.g. the Head of Prevention of Corruption and Transparency or other officials, or by a Working Group, e.g. the Supervisory Board. For further details, please read the regulation

How can I monitor the status of my report?

If you have entered your email address, you will receive an email notification in case the Supervisor requests further information or clarifications from you. If you do not receive notifications, please also check your spam box. In any case, we advise you to periodically access your report to verify directly whether you have any requests or simply to consult the state of your reports. We remind you, for confidentiality reasons, not to use a company e-mail address.

 

How can I integrate my report?

After submitting the report, you can integrate it by accessing the whistleblowing report and entering a message in the 'Message' area.

 

What wrongdoings or acts can I report?

There is no definitive list of wrongdoings or irregularities that may be the subject of whistleblowing. Reports that concern conduct, risks, offences, or irregularities detrimental to the public interest are considered relevant.

Whistleblowing does not cover complaints of a personal nature by the reporter, which are usually covered by other procedures.

How is my identity handled?

Whistleblower reports and identity are highly confidential; the software hides the identity of the whistleblower. Access to the whistleblower’s identity is, however, only granted to the whistleblowing supervisor, through a security procedure, which allows access to the identity, which includes a request for a specific motivation. If the responsible officer has seen your identity, you will be informed by the platform by means of a note. The system does not use log systems to trace the identity of the person submitting a report.
